Staff Assistant

  Senior Operations Coordinator

POSITION SUMMARY: The Staff Assistant is responsible for providing administrative, secretarial, research, project coordination and support to the Senior Operations Coordinator, Finance & Operations, Public Policy & External Affairs Department, and Patient Safety & Quality Department. The position will assist with meetings, events, publications, and special projects.


General Office Responsibilities
  1. Provide secretarial, research and clerical support services to association staff.
  2. Assist senior staff in coordinating committee meetings, preparing meeting notices and announcements and responding to follow-up tasks.
  3. Assist senior staff in the preparation of summary materials and follow-up from meetings.
  4. Assist in the preparation and production of documents and materials to be distributed to association membership.
  5. Update and maintain accurate files of association lists and databases.

Special Projects and Events 

  1. Assist with event planning, confirmation, and registration for association events, seminars, workshops, and trainings.
  2. Create event save-the-date announcements, brochures, and e-brochures.
  3. Manage registration process as well as on-site registration for seminars and workshops, including entering data, preparing reminders and confirmations, handling payments, preparing name tags, and responding to follow-up tasks.
  4. Prepare event packets/folders and materials for distribution.
  5. Calculate and distribute evaluation forms.
  6. Assist in developing, editing, and/or distributing association publications including annual reports, the membership directory, advocacy newsletters and special documents.
  7. Serve as association liaison and staff resource to association members by responding to requests for information, special reports, and other technical assistance materials.
  8. Assist in providing basic technical and audiovisual equipment support.
  9. Assist with timely loading of invoices for payment and forwarding checks for deposit.

Research Duties

  1. Assist in the identification and monitoring of legislative and regulatory policies, programs and proposals.
  2. Research legislative and regulatory issues and activities.
  3. Attend select hearings and assist with testimony preparations.
  4. Assist with coordination and administration of grants, workgroups, and other collaborations.

Education & Experience

  • High school, general educational equivalency (GED) or vocational education diploma.
  • Three or more years of experience as a secretary, receptionist, clerk or general administrative assistant in an office setting. College degree preferred.

Skills & Abilities

  • Good interpersonal and oral communications skills.
  • Ability to work with staff, members and public with tact and courtesy.
  • Experience in event planning and developing publications is a plus.

Computer Skills

  • Proficiency with Microsoft Office Suite including Outlook, Word, Excel and PowerPoint required. Proficiency with Outlook email.
  • Understanding of digital content management, email marketing platforms, and basic design software.

Salary and benefits for the Staff Assistant position will be based upon educational background and experience and is subject to negotiation. Salary and benefits are reviewed annually.
